Supported formats

Upload a structured export from your previous system. MySQL means an exported `.sql` database file — you do not connect your old live database to CliniForm.

CSV

Comma-separated file with a header row for each column.

TXT

Delimited text (comma or tab) with named headers.

JSON

An array of client objects, or an object with a clients / patients / contacts key.

XML

Structured client, patient or contact elements with named fields.

MySQL

A `.sql` dump containing INSERT rows for a clients-like table.

Excel (.xlsx) and ZIP archives are not accepted. Save or export a worksheet as CSV before upload. Scanned paper and PDFs are not bulk-imported — convert to a structured file and review extracted information first.

What can be imported

Client demographics: name (or first name and surname), email, phone, date of birth, address and notes.

Duplicate emails are skipped. Matching phone numbers are flagged as warnings so you can decide. Historical dates of birth are preserved when the value can be parsed.

Not bulk-imported: medical history, allergies, appointments, treatment notes, memberships or document files. Keep your previous system as the archive for clinical history, or add key alerts on each client after import.

Switching questions

Which formats can I upload?

CSV, TXT, JSON, XML and MySQL .sql exports. Excel and ZIP are not accepted — export a worksheet as CSV first.

What about attachments and treatment notes?

Document files, treatment notes and clinical history are not bulk-imported. Keep them in your previous system as an archive, or add important alerts on each client after import.

What happens if a client already exists?

Rows with an email that already exists in your practice (or earlier in the file) are skipped. Matching phone numbers show a warning but can still import.

Do I need to connect my old database?

No. For MySQL, upload an exported .sql file. CliniForm never connects to your previous live database.
